Med-ID Pty Ltd ("Med-ID", "we", "us", or "our") is committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Privacy Policy explains how we collect, use, disclose, and manage personal information through our website at med-id.com.au and any associated services, including our AI chatbot assistant.

2. Information we collect

We may collect the following types of personal information:

  • Contact information — name, email address, phone number, and pharmacy name submitted through enquiry, contact, or chatbot lead capture forms.
  • Usage data — pages visited, time spent on pages, browser type, device type, and IP address, collected automatically via analytics tools.
  • Cookie data — session identifiers and preference data stored in your browser (see Section 6).
  • Chatbot conversation data — the content of messages you send to our AI chatbot assistant, including questions asked, your selected visitor role (e.g. Pharmacy Owner), and your area of interest. This data is stored to help us improve our service and understand how visitors engage with our content.
  • Correspondence — any information you provide when communicating with us by email or through the website.

3. AI chatbot assistant

Our website includes an AI-powered chatbot assistant ("Ask Us") designed to answer questions about Med-ID products, the Pharmacy Access Standard (PAS™), and related topics. Please be aware of the following when using the chatbot:

  • Session recording — chatbot conversations are recorded and stored in our secure database. This includes all messages you send and the responses provided by the assistant, along with metadata such as the time of the conversation and the page you were visiting.
  • Topic classification — messages may be automatically classified by topic (e.g. pricing, governance, product information) to help us understand common questions and improve our content.
  • Lead capture — if you voluntarily submit your contact details through the chatbot's lead capture form, that information is stored and used to follow up with you as described in Section 3.
  • No sensitive information — please do not submit sensitive personal information (such as health information, financial details, or government identifiers) through the chatbot.
  • Not professional advice — responses provided by the chatbot are for general informational purposes only and do not constitute legal, regulatory, pharmaceutical, or professional advice. See our Terms of Service for further detail.
  • Data retention — chatbot session data is retained for a period of up to 24 months, after which it is deleted or anonymised.

4. How we use your information

We use personal information to:

  • Respond to enquiries and provide information about Med-ID products and services.
  • Schedule and conduct Discovery Calls and follow-up communications.
  • Improve the functionality, content, and AI assistant responses on our website.
  • Analyse website usage and visitor behaviour using aggregated, anonymised data.
  • Review chatbot conversation transcripts to identify common questions, improve response quality, and refine our content.
  • Comply with legal obligations.

We do not use your personal information for direct marketing without your consent, and we do not sell or rent your personal information to third parties.

5. Analytics and traffic data

We use Google Analytics 4 (GA4) to collect anonymised data about how visitors interact with our website. This data includes pages viewed, session duration, traffic sources, and device information. We do not use GA4 to collect personally identifiable information.

We maintain internal controls to exclude known internal and testing traffic from our analytics reports. This may include the use of browser-based flags (stored in your browser's local storage) to mark sessions as internal. These flags do not collect or transmit any personal information and are used solely to improve the accuracy of our analytics data.

You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

6. Disclosure of information

We may disclose personal information to:

  • Service providers who assist us in operating our website or conducting our business (e.g. email delivery, analytics, AI services, scheduling tools), subject to confidentiality obligations.
  • AI service providers — messages sent to our chatbot are processed by third-party large language model (LLM) providers to generate responses. These providers process message content only for the purpose of generating a response and are subject to their own data processing agreements.
  • Professional advisers including lawyers, accountants, and auditors.
  • Government or regulatory bodies where required by law.

We do not disclose personal information to overseas recipients unless required by law, necessary for the provision of our services (such as AI processing), or with your consent.

7. Data security

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. Our website uses HTTPS encryption for all data in transit. Chatbot conversation data is stored in a secured database accessible only to authorised Med-ID personnel. We retain personal information only for as long as necessary for the purposes for which it was collected, or as required by law.

8. Cookies

Our website uses cookies to improve your browsing experience and to collect anonymised usage analytics. Cookies are small text files stored on your device. We use:

  • Session cookies — temporary cookies that expire when you close your browser.
  • Preference cookies — to remember your cookie consent choice.
  • Analytics cookies — to understand how visitors interact with our website (anonymised data only, via Google Analytics 4).
  • Internal traffic flags — browser local storage flags used to distinguish internal testing sessions from real visitor sessions in our analytics reports. These do not collect personal information.

You can disable cookies through your browser settings. Disabling cookies may affect the functionality of some parts of the website.

9. Access and correction

You have the right to request access to the personal information we hold about you, including any chatbot conversation data associated with your contact details, and to request correction of any inaccurate or incomplete information.
